The world of online billing systems has proved to have a lot more breadth and depth than I had ever imagined. With hundreds of billing and online invoicing systems to choose from I have my work cut out for me if I am going to find the ultimate online billing system.
After a bit of sleuthing online – some helpful referrals from colleagues and several handy comments on my forum thread, I have compiled a list of approx 80 billing/invoicing systems that I would like to road test and review before making my final decision.
Each system has its own unique focus and strengths ranging from service provisioning , time tracking, accounting and tax related features, client management, multiple user orientated, added legal templates, branding and design orientated and many more.
Most of the systems contained in the list below are true online billing/invoicing systems, but I have included some download and install options for those who do not want a ‘ready-hosted’ system. I have also added a few payment gateways and accounting systems that allow for the creation and issuing of invoices, but lack the full range of features present in an recurring billing system, due to the fact that many of them are extremely fast to use and signup in many cases is free.
I have added my full list of systems below – each with a brief description. It is my mission to review each online billing and invoicing system in detail over the next few weeks, providing easy to interpret, comparable data on each system – including pricing, features, ease of use and unique functionality. I’ll also be compiling short-lists for best systems and opening a poll shortly so you can vote for your favorite. But for now, read on and marvel at the sheer range and diversity of systems! (The list below is also a great resource for those of you who would like to do your own research into billing and invoicing systems).
International flavor – billing/invoicing systems from around the world
SnapBill is the brainchild of the web developers and programmers at Lusion Technologies. The origins of the powerful SnapBill system lay in Lusion Technologies need to manage its own web hosting services clients and billing.

Ballpark centralizes email discussions within your company as well as with clients, allows you to receive payments in moments using PayPal and enables you to send project estimates and bids to clients – Keeping track of which projects you’ve won and lost, and what you need to follow up on.
BambooInvoice was built by designer and programmer Derek Allard, not by a large firm who can’t remember the names of its customers. It is meant to be sexy, both on top of, and under the hood.
It is free Open Source invoicing software intended for small businesses and independent contractors.
Their number one priorities are ease of use, user-interface, and beautiful code.
BambooInvoice is built using PHP 5 and needs a database (MySQL and MySQLi 4.1+ are known to work, and drivers are included for MSSQL, Postgre, OCI8, SQLite, and ODBC). In order to generate PDFs, you’ll need the DOM extension enabled.
Bankoi Web Billing is online time-based and recurring billing application that is a complete, secure and that maintains hourly service billing, along with flat fee billing and recurring charges. Integration to Authorize.Net and other leading payment gateways provides hands-free recurring billing with sophisticated CRM, bill presentment and payment capabilities within a simple browser interface.
The Bill4Time time billing software was designed with the busy professional in mind. Bill4Time helps you get more organized, be more productive, and bill more time. Features like remote access, backups, security, and automated e-mail alerts are already included.
Bill4Time’s time tracking software is designed to handle time and expense tracking & billing, project management, document filing, and scheduling for firms who bill for their time.
Billfaster is an online system that takes the pain out of paperwork.
Billfaster helps you create and email invoices, manage cash and cash-registers, keep track of items and stay on top of your taxes.
Billing Boss is a free online invoicing tool designed for small businesses and freelancers to create, send and track the status of invoices. It’s so simple to use that you can create and send your first invoice within minutes.
Intuit is a small team inside a big company with a long history of helping small businesses with products like QuickBooks, Quicken and TurboTax. Black Sheep Invoices is a free, GNU-licensed script for managing invoices. They offer a free service for non-profit organizations: they will create an account for you on their site, letting you log on and manage all your invoices directly.

Though they provide invoice and billing services, Easy Bill Online also includes a host of other business tools that includes many features that aim to make running your business more efficient and convenient.
Although not an online billing system Ezy Invoice may also be worth a quick look. Ezy Invoice 10 is a feature rich invoice software tool for the small business & medium sized company. It is not just invoice or billing software – It is in fact an invoicing, accounts receivable and an inventory (Pro version only) program.
FastDue believes in providing the best free online invoice and collection service available. They are a small business comprised of research, design, usability and programming specialists who collaborate to insure that their product satisfies your business transaction needs as effortlessly as possible.
FastDue is a free, online suite of business productivity tools with free invoicing, interactive billing and collections, and the only live, interactive contract negotiation and execution on the web.
FastDue is designed for small- to medium-sized businesses, independent contractors and consultants and claims to be 100% intuitive, with no learning curve.
Free Agent is simple online accounting software which does include invoicing capabilities – hence its inclusion in the list.
The system allows the user to send estimates and proposals, invoice with ease, manage expenses, reconcile money in and out of the business, view profit and loss statements and prepare for tax time.
Freelance Total is web based software that takes care of your clients, projects, time, invoices and leads. Freelance total allows you to quickly get an overview of your clients, and the activities you are involved with for each client, create invoices and send them to your clients and get reminded to follow up payments.
You can write notes, make task lists, track time and record expenses and create invoices from projects. The user is also able to manage their sales pipeline, get reminders for follow ups and keep notes on leads.
Freelanceassistant.ca (only available to Canadian users)
FreelanceAssistant.ca was developed in Canada for Canadian users, but still deserves a mention. FreelanceAssistant.ca is designed to help small businesses and freelancers manage their business with as little overhead as possible, allowing you to spend your time growing your business instead of managing it.
FreshBooks is an online billing and invoicing system that allows the user to send, track and collect payments quickly. Â The FreshBooks team believe financial record keeping should be easy and fast, but still detailed enough to satisfy your accountant.
The system is simple allowing you to send an invoice a few seconds after creating your account no matter what level of experience you have. Your data is kept safe, secure, and accessible to you and allows you to project a professional image by sending branded invoices, bills and other accounting communications.
GreenBill is an easy way to bill, manage and collect on your invoices. It is a simple payment portal that allows your customers to pay you online, but also includes an invoicing feature – hence its place on my list.
GreenBill aims to help you keep the cash flowing in and make sure your business stays healthy, sync & import your data and integrate with Quickbooks, Sap, MS Dynamics and many others.
inniAccounts is an online accounting service, not a fully fledged online billing system, but does allow you to manage and issue invoices. Their software is designed to make everything – from time tracking and invoicing to payroll and tax returns – effortless.
inniAccounts is designed exclusively for contractors, consultants and freelancers. Their online accounting features allow you to manage your own tax-efficient limited company, and their accounting team can provide additional support and advice when you need it.
Intervals is web-based project management software that combines time tracking and task management in a collaborative online space with powerful reporting.
The system does not have all the features of an online billing system, but does allow for the creation of invoices, making it a valuable tool for designers, web developers, consultants, creative agencies, IT services firms, and communications companies that bill on an hourly or per project basis.
Invoice.com is a simple, easy to use payment gateway, which allows your customers to pay you online. You are able to create and issue invoices through Invoice.com, but the system lacks the full range of features found in a true online billing system. It is however easy to use and a fast and simple way to send invoices and get paid online.
Invoice2go is not an online billing system, instead it is invoicing and estimate software requiring purchase or download and installation. But keeping an open mind I have included it in the list for those who may not want a ‘ready-hosted’ or online system.
The software allows you to create professional invoices, estimates, packing lists, credit memos, purchase orders and more. Choose a template that suits your business from over 300 professional
designs and customize invoices for your own purposes. The user can keep track of customer payments, view 26 different sales and business reports and schedule automatic backups.
Invoice journal claims to be the fast, easy and free way to send invoices to anyone in the world from anywhere in the world.
You are able to use the system to invoice your clients for free and because Invoice journal is a web application you can access your invoices anytime from anywhere.
With Invoice Journal your invoices will appear clear and clean both on-screen and on paper. You can even download their base template and design your own to match your branding.
The Invoice Machine is an online invoicing service that takes a new approach to online invoicing. Like most things Scandinavian it has a clean, visually pleasing, simple-to-use interface which makes producing professional looking invoices easy.
The Invoice Machine is ideal for freelancers and businesses, who want an easy way to manage, create and send their invoices. It’s great for anyone who has a service or product to sell.

Kashfow is another download or purchase and install option and is not online or ready-hosted, but will cater for those seeking a system filled with accounting tools rather than online billing or invoicing.
Less Accounting is small business accounting software that allows the user to send invoices and proposals, send html and pdf, download pdfs. Zap proposal into invoices. This system is, again, not a true online billing/invoicing system, but does deserve a mention as it falls in the billing/invoicing software catagory.
You can track expenses with nightly bank data aggregation, import your Quickbooks company file in 2 mins, schedule invoices to automatically generate on a regular basis, automatically import bank transactions and monitor your books and export the data.
Lite Accounting is an online application that gives you the tools you need to invoice and receive payment from your customers.
Moobiz is a suite of business management tools that allows the user to manage cost proposals, timesheets and invoices easily, keep track of project activity and send reminders for overdue invoices. Local is lekker – South African billing/invoicing systems make good
Billy sends your invoices and statements by email. Invoices are sent when you raise them, or at regular times each month. Statements are sent out automatically each month, or you can send a statement at any time.
Billy deals with credit notes, and keeps track of all of the money transactions you have with you customers. Billy is not an accounting system – Just simple, secure online billing.
